The Events.com C4 Check-In App offers a range of features to make event check-ins smooth and efficient. You can quickly scan attendee tickets or registration QR codes for fast entry. The browser-based app is compatible with any operating system and device, though mobile devices like phones or tablets are recommended for easy, on-the-go scanning. It provides real-time updates, so your attendee data is instantly synced. If you’re in an area with no internet connection, the app works offline and will sync as soon as you're back online. It also allows you to track attendance to ensure accurate records and prevent duplicates. The user-friendly interface makes it easy for your staff to handle check-ins without any confusion.
To get started, please follow the instructions below.
Recommendations for Using the App
Accessing the App
The Events.com Check-In app can be accessed at https://events.com/onsite/c4/index.htm. We recommend creating a bookmark on your browser for easy access.
(On Android devices, your browser may prompt you to install or bookmark the app to your home page). We also recommend you set the rotation lock on your device to keep the app in Portrait mode to prevent
any issues with screen format.
1. Logging In
To Log In, enter your Events.com credentials
and choose your login duration. The login
duration is the period of time the device will
stay logged into the app - the device will be
automatically logged out after.
Note: If you choose to Share Settings
(outlined in Initial Setup Step 2), the login
duration will be passed to all devices.
2. Event Setup
All dropdowns must be answered in order. Select your Organization (to populate your event dropdown),
select your Event (to populate your Tickets dropdown), and then select your Ticket(s).
You can choose all the ticket types you wish to allow this device to check in. On Android and iOS devices, you can check off all ticket types as needed; in a computer browser, you will need to hold the command, or control button to select multiple ticket types. After you’ve finalized Tickets, load your event data by scrolling down and hitting the Full Refresh button. If you are only using one device, you can then click - Start Scanning to begin check in.
3. Share Settings to Other Devices
If you have more devices to set up, you can easily share your settings. Start by refreshing the app. On Android or iOS drag your finger down from the top of the app until you see a refresh icon spinning. On a computer, click your browser’s reload button. After refreshing, the app will open on the camera scanner. Click the settings icon at the top right of the app to return to the settings screen and scroll down to the Share with QR | Share to Clipboard buttons.
Both Share options will log the user into the app with all your selected settings in place. Because the app is browser based, the user does not need to have the app previously opened.
- Share with QR Generates a QR code, which can be scanned by most mobile devices.
- Share to Clipboard
Generates a URL and copies it to your device’s clipboard so you can send it to others. Simply choose
your method of sending (email, text message, etc.) and paste the URL into your message.
4. Scanning Tickets
Opening the Camera Scanning
Once you have selected your preferred settings, you can open the camera scanner by clicking the Start
Scanning button. If a user is already logged in, or has accessed the app through a shared link or QR, the
app will automatically open in the camera scanner mode.
- Important: You will need to allow the app access to your
camera the first time you open the app on your device.
Scanning Tickets
To scan a ticket, place the QR code in front of the device’s camera; you may scan any number of tickets
at a time. The app will read the QR code(s) and display any scanned tickets below the camera window
with the attendee’s name, ticket type, and a status message.
Scanned Ticket Status Messages
When tickets are scanned, you will see a colored box and a status message next to each ticket. These
colors and messages let you know if a ticket can be checked in.
If a ticket indicates it is not allowed for check in, it may either be the wrong ticket type for the device (based on the initial settings selected), or it may be the QR code is not valid for the event. If the QR code is not valid for the event, the name displayed will be John Doe, and the ticket type will read Unrecognized QR
5. Checking In Tickets
Individual Ticket
To check in an individual ticket, simply click on the green box to the right of the attendee name. The box will turn blue, and the status message will change from Valid to CheckedIn.
Multiple Tickets
If you have scanned multiple tickets, a Check In All box will appear at the bottom of your list. You can still check in each ticket individually, or you can click Check In All, and all Valid tickets in your list will be checked in, the green boxes will change to blue, and the status messages will change from Valid to CheckedIn. Any other tickets will remain in their original state.
6. Clearing Your Scan List
Once you have finished checking in attendees in your scanned list, you can hit the Clear button to clear
your list.
Note: The clear button will only clear out your displayed list and will not clear your check-ins from the
database.
7. Paused Scanner
If the camera scanner has been inactive for more than 30 seconds, the camera will pause to save battery.
To unpause, click anywhere in the camera box.
8. Manual Search
Opening the Manual Search
You can manually search for tickets by clicking on the green search button in the upper right corner of the camera scanner window. This will take you to a screen where you can type in an attendee’s name to search for their ticket. Note: If the camera scanner has paused, you will need to click on the camera scanner window to unpause
the camera and see the search button.
Searching for Attendees
To search for an attendee, type in their name (it is recommended you search by last name).
As you type, the search results will populate above the text bar with the attendee’s name, ticket type, and
a status message.
Searched Ticket Messages
When tickets are searched, you will see a colored box and a status message next to each ticket. These
colors and messages let you know if a ticket can be checked in.
If a ticket indicates it is not allowed for check in, it is the wrong ticket type for the device (based on the
initial settings selected).
Checking Tickets
When using manual search, you must check in tickets individually. To check in an individual ticket, simply
click on the green box to the right of the attendee name. The box will turn blue, and the status message
will change from Valid to CheckedIn.
Clearing Your Search List
To clear your search list, and delete any text typed into the search bar. As the text in the search bar
changes, your search results will change. Once the search bar is cleared, the list will clear.
9. Data Synchronization
- Data Sync Indicators - Two data sync indicators, in the shape of clouds with arrows, can be found at the top left of the app. When these indicators spin, it means the app is syncing with our servers. The cloud with the down arrow indicates data is being downloaded from our servers to your device. The cloud with the up arrow indicates your device is uploading data to our servers. A number next to the cloud with the up arrow indicates you have check ins waiting to be uploaded to our servers.
- Data Sync Interval - Data is synced to and from our servers approximately every 30 seconds.
- Offline Mode - After the data has been initially downloaded during initial setup, the app may be used when not connected to the internet. When offline, the app will store all check ins and will upload them once the device is connected to the internet. Note To get offline check ins to sync, the device must be connected to the internet, and the app must be open
10. Activity Log
At the bottom of the app is an activity log. This log shows what the app is doing, as well as what the app has done. In the event of any issues with the app, this log may be uploaded to our servers so our engineers can review and troubleshoot.
Expanding the Log
To expand the log, tap on the up arrow directly above the log row at the bottom of the screen. To close
the log, click the down arrow found at the bottom of the log.
Log Navigation
To expand the log, tap on the up arrow directly above the log row at the bottom of the screen. Once the log has been expanded, you can:
- Scroll up and down through the log
- Close the expanded log by tapping the down arrow icon at the bottom of the screen
- Delete the log by tapping the garbage can icon on the bottom left of the screen. This action is not recommended unless advised to do so by an Events.com staff member
- Upload the log to our servers by clicking the cloud icon found in the lower right of the screen (for use in troubleshooting issues)
Sharing the Log with Events.com
To share the log with our team for troubleshooting, click the cloud icon found in the lower right of the
expanded log. Once you have done so, please contact a member of our support team so we can notify
our engineers of the new log file.
11. Device Data Management
There are a few options in the app settings for managing the data on your device.
Full Refresh - This will pull a full refresh of all attendee data for your event from the Events.com database.
Clear DB - Clears the attendee data from your device. This does not clear any check-ins performed by the device, nor any check-in data waiting to be uploaded to our servers. This option should be used if you are using a device for a new event, after having used it for a previous event.
Clear Check-Ins - This will clear any un-synced check-ins from your device. This should only be used for troubleshooting under the instruction of an Events.com team member.
Download Data - Download a json file of the check-in data from your device. This should only be used for troubleshooting under the instruction of an Events.com team member.
